Deciding on the Venue

One of the most pivotal decisions you'll make when planning your special day is selecting the perfect venue. In this blog, let's explore a handful of factors to consider when choosing your wedding venue. We'll cover the importance of having indoor and outdoor options for the ceremony and reception, as well as considerations for guest size and comfort.

Location Logistics:

  • Proximity to Guests: When considering the location of the venue a factor which can play a part in this is relation to your guests. Is your wedding venue out of the way for them OR in the same city/ town? If you have many out-of-town attendees, choosing a venue with nearby accommodation options or provide your guest transportation for their convenience.

  • Local Regulations: With some locations be aware if there are any local regulations or restrictions that may impact your wedding plans, especially if you're considering an outdoor venue or traveling out of town to your wedding. Check with your venue if there are any curfews and/or any permits required that you need to know of.

  • Venue Atmosphere:

  • Indoor vs. Outdoor: Deciding whether you prefer to have an indoor or outdoor ceremony/ reception can really set the scene for your wedding. Each setting has its own unique charm followed with it’s Pro’s & Con’s.

    • Indoor venues: Providing more control over weather conditions as well as having greater control over the feeling and look of your ceremony/ reception. Choosing an indoor option for your ceremony can really allow you to ensure that you’re able to “get what you want” out of your ceremony/ reception. The only potential downside of having an indoor ceremony/ reception may be a reduced guest list as within an indoor option there will only be space for “so” many guest for your ceremony, as well as this the other thing to consider is the lighting conditions inside the ceremony location. As a photographer making sure the quality of light is flattering for you both throughout the day is a key factor for my approach to ensure you’ll be able to receive beautiful photos.

    • Outdoor venues: Unlike indoor ceremonies/ receptions, outdoor ceremonies/ receptions allow you to visually showcase the location in which you’re getting married. If this is in a venue, forrest, beach side, mountain top or garden. Choosing an outdoor option really allows a wider range of options for you both to lean into what resembles your relationship as a couple. The obvious and main “Con” for choosing an outdoor ceremony/ reception location is not having the control over the climate and weather condition on your day. Granted being intentional with your choice of season for your wedding date to fall on can significantly reduce this factor.

Weather Considerations:

  • Backup Plan: As beautiful as outdoor wedding venues are, there is always a risk of unpredictable weather on your special day. Choosing a venue that provides a suitable backup plan (PLAN B) in case there is any rain or extreme weather conditions, ensures a seamless transition and keeps your special day stress-free as-well as comfort for your guest attending your celebration.

  • Seasonal Considerations: If you have a specific season in mind for your special day, considering how the venue and its surroundings area will visually look and feel during that time year too. As Outdoor venues may visually change significantly with the change of seasons throughout the year, having the potential to influence your color palette and overall aesthetic for your day.

Budget Considerations:

  • Venue Fees: Understanding the full cost of the venue, including any additional fees for services, staffing, and/ or equipment. Ensure that the venue fits within your overall budget, allowing room for other essential elements like catering, photography, florist, videography and entertainment. The best way to learn this information is to contact the venue/s that you’re researching as they will be able to provide you with more clarity around this.

  • Inclusions and Restrictions: Clarify what is included in the venue package and any restrictions they may have. Some venues may have preferred vendors or limitations on decorations, so it's essential to communicate your venue these factors with your vision.

Choosing the perfect wedding venue is something that can take time but is a pivotal step in creating the wedding of your dreams. By considering indoor and outdoor options, weather contingencies, guest accommodations, reception atmosphere and location logistics, you'll be well on your way to selecting a venue that not only aligns with your vision but also provides a space that will tell love story. Cheers to finding the perfect backdrop for your love story!
